Epsilon Building Association

Theta Chi Fraternity, Epsilon Chapter

11:00am, June 5, 1999 - Roger Perry Library

Old Business

    1. Rent collection status at year end. 2 housebills outstanding from D-Term
    2. Should we hire a bill collection company? Others have with success. Decided to give Dave Scott’s ideas a test first. If the outstanding amount reaches a fixed ceiling, we’ll consider a bill collection company.
    3. Current rent total owed to the EBA. Repayment schedule? Chapter paid $8000 today to bring the total down to 10,000 to be paid over the next 4 quarters. Housebill raised to $1300/quarter.

    1. Status of additional bids.
    2. Contract Schedule.

Place holder to make sure this gets done. No progress to discuss. Dave just had a baby boy!

    1. Finances and reimbursements. The EBA treasurer paid out around $3100 in landscaping reimbursements.
    2. Cement work. Jim Melvin will call cement contractors to finish back and front walkways this coming week. This must be done first.
    3. Lawn rolling and reseeding. As soon as the cement work is done, we can have a landscaping company come in and reshape and reseed the lawns.
    4. Fence or no fence? We decided that the house looks great without a fence but it would be unprotected without one. So, Jim Melvin will order the fence materials as soon as the lawn reshaping is done.
    5. Do we have all the tools we need? No discussion, shed locked, no inspection.

We also discussed the complete replacement of the front porch as it is in pretty bad shape. More discussion at the next meeting.

    1. Start putting together a project proposal for complete shower replacement.
    2. Review such proposal with the EBA for implementation next year.

Derrick could not make the meeting, no discussion. This project is for next summer.

    1. Continue to research roofing solutions for our type roof.
    2. Educate the EBA Board on solutions.
    3. Recommend a solution.

Action Items:

    1. Start putting together a project proposal for prospective bidders.
    2. Review such proposal with the EBA.

Jon was not able to make the meeting so no discussion on this important project.

    1. Current status.
    2. Review of older alumni debt records.

Jim Melvin did not realize that Chris Haraldsen did not have email access so Chris did not know when the meeting was. This was unfortunate. Chris has indicated that money is still coming in regularly. About $500 was sent in since the last meeting and one alumni paid off his debt in full. Great!

    1. Present initial draft to EBA.
    2. Schedule target date for review comments.

Derrick could not make the meeting, no discussion.

    1. Review project scope and cost.
    2. Who will pay?
    3. Who will complete the repairs?

Derrick could not make the meeting, no discussion. There are just a few places where we need to replace broken or mis laid tiles.

    1. How many are going? 4-5 brothers are going.
    2. Do we have an alumnus representative to attend? No definites at this point. The dates are July 14-18th in Denver if anyone is interested. Actually, this is the Chapter Leadership Conference, no the National Convention.

    1. Any ideas for new discussions? Clambake ideas is the only one.

    1. Who is living at the house over the summer? Phone list? 15-17 brothers!
    2. Details plan? Chad Hart has a details plan, but apparently it is only used when needed.
    3. Summer party plans? July 31st

    1. Decide on number and amount of awards.
    2. When should we start this new effort.

Tabled until Chris Haraldsen is present.

    1. Plans for improvements.
    2. Status.

Rich was not at the meeting. No discussion. This project is important for this year’s upcoming Rush season.

New Business

    1. Have we secured Juniper Hill? Yes. July 31st at 10:30am. Steak cookout added to fee which is now $65.
    2. Estimate on number of teams. 15. Currently there are 9 teams signed up.
    3. We need to make an email announcement so teams can start to sign up. Pronto.

    1. Should we try to have one? Absolutely!
    2. Ideas. Partial potluck food. Need a place.
    3. When? Late summer, possibly after Labor Day.

    1. Panel repair. Dave Scott has volunteered to evaluate the costs of replacing the bad panels and replacing loose nails with screws.
    2. Paint work. Dave has also volunteered to scope out the cost of painting the panels under the windows. Suggestions for colors are open for discussion. This must be done over the summer.

    1. Participants welcome. This is a big year for Greek Rush. OX should help to lead the way to the proper planning for this coming year. Jim Melvin is the chair of the Greek Alumni Council Rush Committee. Please attend the meeting if you can. Email will provide directions.
